Privacy Policy
Last updated: 16 October 2026
This policy explains what information Webxeen handles, why, and the choices you have. It covers visitors to webxeen.com, businesses that use Webxeen (“sellers”), and the customers who message a seller’s WhatsApp number that Webxeen answers.
1. Who we are
Webxeen provides an AI sales assistant that answers customers on WhatsApp for small businesses, and designs and builds websites for businesses. Webxeen is based in Model Town, Lahore, Pakistan. You can reach us at hello@webxeen.com.
2. Our role for sellers and their customers
When a customer messages a seller that uses Webxeen, the seller decides how its customer information is used. Webxeen handles that information on the seller’s behalf, only to run the seller’s assistant. If you are a customer of a seller, the seller’s own privacy notice also applies, and the seller is your first point of contact for questions about your orders and data.
For our own website visitors and for the sellers who sign up with us, Webxeen decides how the information is used.
3. Information we handle
Visitors to webxeen.com
- Our website does not use advertising or analytics cookies and does not ask you to create an account.
- Your browser stores your language choice and price-region choice (PKR or USD) on your own device so the site remembers them. You can clear this at any time in your browser settings.
- Our website host keeps standard technical logs (such as IP address, browser type and the pages requested) to deliver the site and keep it secure.
- If you contact us on WhatsApp or by email (for example to ask for a demo), we receive your phone number or email address and your message.
- Some sample pages (for example our 3D website samples) load fonts from Google Fonts, so Google receives your IP address when you open them.
Sellers (businesses using Webxeen)
- Business details: business name, the WhatsApp number connected to Webxeen, currency and time zone.
- Shop information you give us: products, prices, delivery rules and payment methods.
- Contact details for alerts: the WhatsApp numbers and email addresses that receive order alerts, complaints and summaries.
- Billing records: invoices, the amount and date of each payment, and the name on the paying account. Sellers in Pakistan pay by bank transfer; sellers abroad pay through Payoneer. We do not receive or store full card numbers.
Website clients
- Contact details and messages you send us about a website project.
- Content you give us for your website: text, product photos, logos, prices and 3D models. We use it only to build and run your website.
Customers who message a seller
- WhatsApp phone number and profile name.
- Messages exchanged with the seller’s assistant.
- Order details: products, quantity, name, delivery address, payment method and order number.
- Payment screenshots sent in the chat, and the details read from them (amount, transaction ID, date and receiver).
- Complaints, cancellations, refunds, returns and past orders, so the assistant can remember returning customers.
4. How we use it
- To run each seller’s assistant: reply to customers, take and confirm orders, send receipts, check payment screenshots, send payment reminders, cancel online orders that stay unpaid, and alert the seller’s team.
- To send sellers order alerts, morning summaries and reports.
- To give support, set up accounts and bill for plans.
- To keep the service secure and prevent misuse.
- To meet legal obligations.
We do not sell personal information, and we do not use it for advertising. We do not use customer chats or sellers’ data to train AI models. We use the paid version of Google’s Gemini API for the assistant; under Google’s terms for paid services, Google does not use this content to improve its products.
5. Who we share it with
- The seller the customer is talking to: they see their own customers’ orders, messages, payment screenshots and complaints.
- WhatsApp (Meta): messages are sent and received through WhatsApp, so WhatsApp’s own terms and privacy policy also apply.
- Service providers that help us run Webxeen. They may use the information only to provide their service to us:
- Meta (WhatsApp Business Platform / Cloud API) — sends and receives WhatsApp messages.
- Google (Gemini API) — writes the assistant’s replies and reads payment screenshots.
- Supabase — database and file storage (orders, customers, messages and payment screenshots).
- Vercel — hosts our website and the assistant’s software.
- Resend — sends email alerts and reports to sellers.
- Cloudflare — forwards email sent to our address.
- Authorities, when the law requires it.
6. How long we keep it
- While a seller uses Webxeen: the assistant remembers a customer’s past orders for the memory period of the seller’s plan: 3 months on Silver, 1 year on Gold and 5 years on Premium. Chat messages are deleted after that memory period or after 1 year, whichever is shorter. Order records and customer details (name and delivery address) stay in the seller’s account while the seller uses Webxeen.
- When a seller stops using Webxeen: the seller’s shop information and their customers’ data are deleted within 30 days, and removed from backups within 60 days. Before deletion, the seller can ask us for a copy of their data.
- Billing records (invoices and payment records) are kept for 5 years, because tax law requires it.
- Messages sent to us directly (for example demo requests) are kept for up to 12 months unless you become a seller.
7. Security
Each business has its own separate setup — its own number, products, prices and customers. We use reasonable technical and organisational measures to protect information. No online service can be completely secure, so please tell us at once if you think something is wrong.
8. Your choices and rights
- Customers of a seller: contact the seller first about your orders. You can also email us and we will help the seller respond.
- Everyone: you can ask us for a copy of your information, ask us to correct it, or ask us to delete it, subject to legal limits.
- Depending on where you live (for example the EU or UK), you may have more rights, such as objecting to some uses or complaining to your local data protection authority.
To make a request, email hello@webxeen.com.
9. International processing
Webxeen serves businesses in many countries, and our service providers may process information in countries other than yours, including the United States. Where the law requires it, we use appropriate safeguards for these transfers.
10. Children
Webxeen is a service for businesses and is not meant for children. We do not knowingly collect information from children for our own purposes.
11. Changes to this policy
We may update this policy as the service changes. We will change the date at the top, and tell sellers about important changes.
